Organization Overview
We are a Toronto-based tech startup approximately five years into its journey, with a team of 30–35 people split across Toronto and New York. The company is building at the intersection of technology and human potential, and is now investing in the people infrastructure needed to scale.
Position Summary
We are seeking an experienced Talent Coordinator to join on a fractional basis as we build out its talent function from the ground up. With no existing talent infrastructure in place, this role is critical to managing a high-volume inbound pipeline, moving candidates efficiently through the process, and supporting sourcing for hard-to-fill positions. This is an open-ended engagement with room to grow.
Key Responsibilities
Pipeline Management

Own and manage inbound candidate pipeline in Ashby ATS

Screen, disqualify, or advance candidates quickly and consistently

Prioritise immediate triage of active roles
Sourcing

Support early-stage sourcing for hard-to-fill and specialised roles

Maintain evergreen pipelines for ongoing hiring needs (e.g. engineering)
Process & Coordination

Ensure a smooth, timely candidate experience throughout the funnel

Coordinate interviews and communications between candidates and hiring managers

Report on pipeline status and hiring progress
Required Qualifications

Proven experience in talent coordination or recruiting operations

Hands-on experience with Ashby ATS (or comparable modern ATS)

Ability to manage high-volume pipelines with speed and accuracy

Strong sourcing skills for technical and hard-to-fill roles

Comfortable working remotely and independently in an early-stage environment
